Guest Coordinator
International Film Festival Rotterdam (IFFR) presents a leading film festival and year-round programme. We support new and adventurous filmmaking talent, also beyond the screening room, through initiatives such as CineMart, the Hubert Bals Fund, Rotterdam Lab and other industry activities.
Every year, IFFR welcomes over 2,000 guests from the film industry, including more than 400 filmmakers who are part of the festival programme. The Guest team, which falls under the International Relations department, plays a key role in communicating with guests before and during the festival. They organise their travel to Rotterdam and ensure they have an unforgettable experience at the festival.
As Guest Coordinator, you report to the Head of Guest and International Relations and work closely with the Guest Team, Programme Operations, Communications and Pro. You will act as a central point for coordination and operational execution of guest-related services and processes.
About the role
The Guest Coordinator supports the delivery of IFFR’s content strategy by coordinating the daily operations of the Guest team. The role ensures that workflows and communication run smoothly, deadlines are met, and invited filmmakers and delegations experience professional, warm and well-organised guest services in line with IFFR’s values.

Key responsibilities
- Coordinate guest-related processes in preparation for the festival, ensuring timely delivery and professional standards.
- Act as the daily point of contact for Guest Officers and interns, supporting clear communication and effective workflows.
- Collaborate with the Head of Guest and International Relations and step in where needed to safeguard continuity.
- Align with internal teams (Programme, Pro, HBF, Communications) to ensure accurate and consistent guest communication.
- Oversee guest data, lists and event coordination, ensuring accuracy and accessibility across systems.
- Represent IFFR in guest-facing situations where needed, ensuring services reflect the festival’s values of inclusion, diversity and accessibility.
- Maintain contact with Dutch distributors and manage related correspondence.

Who are you?
You have:
- Experience in similar roles within large scale film festivals, events or PR/Talent agencies.
- Demonstrable experience working with high-profile talent and/or senior film industry stakeholders.
- Track record of dealing with a wide range of internal and external stakeholders including high-level partners to deliver a project under a strict timeline and framework.
- Strong financial and administrative skills, with confidence in budget tracking, keeping appropriate administrative records and coordinating data processes.
- Good organisational skills with a great attention to details and the ability to prioritise and to manage as well as meet deadlines.
- A collaborative mindset and the ability to coordinate effectively across teams.
- An eye for process improvement and a drive to make systems work better.
- Excellent written and verbal communication in English; other languages are a plus. Dutch is not mandatory but appreciated.
- Eligible to work in the Netherlands, and able to work at our office based in Rotterdam most days of the week.

- This salary is on scale 6 (Ketentafel Film Festivals) – salary range of €3,000 to €3,500 gross per month based on full-time employment.
